Brittco breaks down the onboarding process into phases to ensure a smooth implementation of the system. We're happy to meet on Zoom as often as needed to get your database operational, but training will not be done using email or phone calls. Our onboarding personnel operate primarily through email so it is recommended as the primary medium of communication. Always feel free to reach out with any questions on the onboarding process or the software in general. We want the setup process to be as smooth as possible!
Training sessions will be cancelled if no one enters the Zoom meeting within 10 minutes after the scheduled time and will be rescheduled for another time.
Phase 1
- Client Information- *minimum – names, county, waiver, acuity(if applicable), and Medicaid #
- Staff Information- *minimum- name, username/password, access levels (user groups), caseload, service assignments
- Company Information- setup specific options for your agency
- User Groups- user groups will give staff specific access levels
- HPC Locations OR Attendance Programs OR Transport Routes- these are the billable service screen that can be documented in Brittco. It is recommended to get one rolled out before setting up another service
We have a 'train the trainer' philosophy so once your admins have completed the setup, an Onboarding Specialist will meet with your managers to get them comfortable enough to not only use the software, but teach it as well. Your managers will then be ready get your DSPs up to speed. We will provide the first round of DSP training. But ongoing training will be provided by your managers.
Phase 1 is to try to give staff the smallest learning curve possible but still get everyone familiar with its user experience. This will make the other phases much more seamless.
Phase 2 & 3
- Another service screen (if applicable) - If you provide services to multiple screens in Brittco (Attendance, HPC, or NMT) then here is where we’d setup the next service
- Daily Documentation - dropdown menus are customized
- Medication Tracker - client medications are entered at this point
- Incidents - no setup required and should be seamless to implement
- Training - staff can get certified and can schedule uploaded documents
After this phase, your DSPs will have everything they need to document in the system.
Phase 4
- Scheduler- can schedule community events, client appointments, staff certifications and trainings, and much more
- Billing – create invoices to upload to the DODD website
- Cost Centers- create billing data for non-Medicaid individuals
These are primarily admin functions and more advanced in terms of functionality.
