First, it's important to understand what goes on with the signature files during the importing process. Whether the signature has been imported from a Smart Phone app or from the VR Software Dashboard, the process is the same.
After a signature has been properly imported, the imported file should be saved in the pre-defined "Signatures" folder. This pre-defined folder can be found in 'Setup-Company':
If the signature was imported using the Smart Phone app, the file format with be a 'PNG' file. If the signature was imported from the VR Software Dashboard, the file format with be a 'JPG' file. The file name is not case-sensitive.
IMPORTANT: Be sure the signature file is NOT saved in the sub-folder \Clients.
After the signature has been imported from the Smart Phone app or Dashboard, the 'Import Signatures' on the Main Menu is clicked:
The user will then be prompted to choose the Client, Guardian, or Staff. When that is done, the original signature file will be converted and copied to the appropriate sub-folder (\Clients, \Guardians, \Staff) and the original signature file will also be copied to the same sub-folder (just in case the person's name is changed and importing must be done again).
Client Signature Verification
If a client name is changed in any way AFTER the signature was imported, it will no longer be found for reporting. The easiest method to verify that the saved signature matches the current client name is:
- From the Main Menu, click the Client box.
- Select the client and click the 'Verify' button.
- A message will display whether the current signature matches the current client name. If the signature does NOT match, then the signature will need to be re-imported.
You can also go to the corresponding folder and you should find the file that matches the name of the client, guardian, or staff. The file format should be 'WMF' and look like these examples:
\Clients\Martian, Marvin, 206030.wmf (the number is the Participant ID)
\Staff\Hanks, Tom [th].wmf (the bracket contains the staff initials and could be blank)
\Guardian\Marvin Martian Sr.wmf
If you double-click on the signature file, it should something like this:
If it does, then all is well with the actual signature file that is displayed on reports. If you are still having a problem with the signature not displaying on reports, then be sure the report has been signed and 'Handwritten' is NOT checked.
