In this article we will go over how to rebill for locally funded invoices.
When a locally funded invoice is created it shows up in the Local Funding module. You can access it by clicking on Actions and then View Invoices. On the Manage Invoices screen is where you can view, reject, mark things approved or paid, etc...
For this example, suppose a Provider created an invoice that looked something like this:
Now the invoice is approved and paid and all is as it should be. Except the September 3rd date was a half day and only 5 units should have been billed. So now this invoice needs to be corrected. The provider needs to submit a new invoice for the incorrect date. In this case, September 3rd.
To do that, the provider will create a new invoice and enter the client, service, and incorrect date. For the number of Units, they would enter 5, because only a half day of service was provided.
And if they click on Actions -> Preview Invoice they will see:
This shows that 28 dollars will be subtracted because they were already overpaid on the previous invoice.
Now if you look at the new invoice that comes in you can see the system already knows that this is a correction:
And if you choose Print Invoice you will see the same correction:
A common error we see is that providers will try to go back in and add negative units (-5 for example). The system does not like this. If a mistake in billing is made, the provider, or the person creating the invoice should only create a new invoice for the affected Client/Date/Service with the correct information. The system will do the rest.
